When to use this template

Compile account balances online, then generate a statement PDF for customer reconciliation. Use this monthly or at regular intervals to give a client a summary of all invoices, payments, credits, and their current balance, especially when you have an ongoing relationship with multiple jobs or a running account.

What to include

  • Statement date, statement period (e.g., March 1-31, 2026), customer name, account number, and your company billing contact information.
  • Opening balance brought forward from the previous statement period.
  • Transaction detail: each invoice, payment, credit memo, and adjustment listed chronologically with date, reference number, description, and amount.
  • Aging summary breaking the outstanding balance into current, 1-30 days past due, 31-60 days past due, 61-90 days past due, and over 90 days past due.
  • Total balance due, payment instructions, and a note that the client should contact you within a set number of days if they dispute any transaction on the statement.

Common questions

Can I prepare this Customer Statement of Account online with current balances?
Yes. Update invoice references, payments, and open balances directly in-browser.
Can I save this Customer Statement of Account format for monthly billing cycles?
Yes. With an account, save and reuse it for periodic account reviews and collections workflows.
Can I generate a customer-ready PDF from this Customer Statement of Account?
Yes. Export a clean PDF statement for client review and payment follow-up.
How often should I send statements of account?
Monthly is standard for ongoing clients. For one-time jobs, a statement is not needed because the invoice and receipt cover the full transaction.
Is a statement of account the same as an invoice?
No. An invoice requests payment for a specific job. A statement of account summarizes all activity across multiple invoices and payments over a period.
What if the client says their records do not match my statement?
Ask them to identify the specific transaction in question. Compare your invoice and receipt records and resolve the discrepancy with documentation, not guesswork.
Should I include aging buckets on the statement?
Yes. Aging buckets show the client how long each balance has been outstanding. This visual nudge encourages payment of older amounts without you having to ask directly.
