Use this monthly or at regular intervals to give a client a summary of all invoices, payments, credits, and their current balance, especially when you have an ongoing relationship with multiple jobs or a running account.
What to include
- Statement date, statement period (e.g., March 1-31, 2026), customer name, account number, and your company billing contact information.
- Opening balance brought forward from the previous statement period.
- Transaction detail: each invoice, payment, credit memo, and adjustment listed chronologically with date, reference number, description, and amount.
- Aging summary breaking the outstanding balance into current, 1-30 days past due, 31-60 days past due, 61-90 days past due, and over 90 days past due.
- Total balance due, payment instructions, and a note that the client should contact you within a set number of days if they dispute any transaction on the statement.
