When to use this template
Prepare submittal documentation online, then generate a PDF package for review workflows. Use this whenever you send documents, drawings, samples, or other physical or digital items to another party on the project, creating a formal record of what was sent, when, and to whom.
What to include
- Transmittal number, date, project name, sender name and company, recipient name and company, and the method of delivery such as email, hand delivery, courier, or mail.
- Itemized list of documents or items being transmitted, each with a description, document number or drawing number, revision number, number of copies, and format such as PDF, hard copy, or sample.
- Purpose of the transmittal selected from standard actions: for your review, for your approval, for your records, for your use, as requested, or for resubmission.
- Action required by the recipient and the date by which a response is needed, if applicable, such as review and return by a specific date.
- Remarks section for any context the recipient needs, such as noting which items are revised from a previous transmittal or flagging items that require urgent attention.
Common questions
- Can I complete this Construction Transmittal online before routing it?
- Yes. Add references, statuses, and required attachments in-browser before submission.
- Can I save this Construction Transmittal for ongoing project tracking?
- Yes. With an account, save and update it as approvals, rejections, and revisions are processed.
- Can I generate a review-ready PDF from this Construction Transmittal?
- Yes. Export a clean PDF for project teams, consultants, and owner records.
- Is a transmittal just a cover letter?
- It serves a similar purpose, but a transmittal is a formal project record. It creates an auditable trail proving that specific documents were sent to a specific person on a specific date, which matters during disputes or closeout.
- Do I need a transmittal for emails?
- For informal emails, no. For formal document deliveries like revised drawings, submittals, or contract documents sent by email, attach a transmittal form to the email so both parties have a numbered log entry.
- How do I number transmittals?
- Use a sequential number for the project, such as T-001, T-002, and so on. Some teams add a prefix for the sender, like GC-T-001 or SUB-T-001, to keep each companys transmittals in their own sequence.
- Should I send a transmittal for shop drawings or just email them directly?
- Always attach a transmittal. It creates a formal record of what was sent, when, and what action is required. An email without a transmittal has no tracking number and is easy to lose in a busy inbox.
