When to use this template
Draft and track clarification requests online, then generate an RFI PDF for formal submission. Use this during construction when you encounter a conflict, ambiguity, or missing detail in the plans or specifications that must be clarified by the architect or engineer before work can proceed.
What to include
- RFI number, project name, date submitted, date a response is needed by, and the name of the person submitting the question with their company and trade.
- Question stated clearly and specifically, referencing the exact plan sheet, detail number, specification section, and grid line or location where the conflict or missing information exists.
- Suggested resolution if you have one, describing how you would handle the issue if approved, so the design team can respond with a simple approval, modification, or rejection.
- Impact statement describing how the unanswered question affects the schedule, other trades, material procurement, or cost, so the design team understands the urgency.
- Attachments including marked-up plan sections, photos of the field condition, or product data sheets that help the reviewer understand the issue without visiting the site.
Common questions
- Can I write this Construction Request for Information (RFI) online and send it for review?
- Yes. Capture question context, references, and required response dates in-browser.
- Can I save this Construction Request for Information (RFI) format for recurring coordination issues?
- Yes. With an account, save and reuse it to standardize project communication and response tracking.
- Can I generate a formal PDF from this Construction Request for Information (RFI)?
- Yes. Export a professional PDF suitable for contractors, designers, and owners.
- When should I submit an RFI versus just figuring it out?
- Submit an RFI whenever the plans or specs are unclear, conflicting, or incomplete and the answer affects cost, schedule, code compliance, or structural integrity. Do not guess on anything that changes the design intent.
- How fast should I expect an RFI response?
- Most contracts specify a response window of seven to ten business days. If the issue is blocking active work, note the urgency and follow up with a phone call in addition to the written RFI.
- Does an RFI response change the contract?
- An RFI clarifies the existing design. If the response changes the scope, adds cost, or extends the schedule, it should be followed by a change order. Track any RFI responses that might trigger a change.
- What is the most common RFI mistake?
- Vague questions with no plan reference. A bad RFI says something like the wall detail is unclear. A good RFI says detail 5 on sheet A401 shows a 2x6 wall but the structural plan calls for 2x4 at the same location, and asks which is correct.
