When to use this template
Assign and adjust execution details online, then generate a field-ready work order PDF. Use this after the contract is signed and before your installers arrive, so the crew knows exactly what material to bring, what subfloor prep to expect, and how each room should be finished.
What to include
- Job site address, access instructions, and which rooms need furniture moved (by the client or your crew) before installation begins.
- Material list with exact quantities: flooring boxes by SKU and lot number, underlayment rolls, moisture barrier, adhesive or nails, transition strips by type and length, and quarter-round or baseboard.
- Subfloor prep instructions: what demo is needed (pull existing carpet/vinyl/tile), leveling requirements with product and thickness, and moisture test results with acceptable thresholds for the material being installed.
- Installation direction and pattern for each room: plank direction relative to the longest wall or light source, stagger pattern, expansion gap size, and how to handle doorways and transitions between flooring types.
- Completion checklist: all rooms installed, transitions in place, trim reinstalled, floor cleaned, leftover material count noted, and customer walkthrough signed.
Common questions
- Can I edit this Flooring Work Order online before dispatch?
- Yes. Update crew assignments, site notes, materials, and task sequencing directly in-browser.
- Can I save this Flooring Work Order and duplicate it for recurring job types?
- Yes. With an account, save it as an operational template and reuse it for similar service calls or installs.
- Can I export this Flooring Work Order as a crew-ready PDF?
- Yes. Generate a PDF your team can open on-site or print for job folders.
- Should installers do a moisture test even if one was done at the quote?
- Yes. Moisture conditions change. Test again on install day. If readings are too high for the product (check manufacturer specs), stop and inform the customer before proceeding.
- What if the subfloor is worse than expected after demo?
- Stop work, document the condition with photos, and get written approval for the additional prep cost before continuing. The work order should reference the change order process from the contract.
- How do I handle lot number consistency?
- Note the lot numbers on the work order. Flooring from different lots can have visible color variation. Keep the same lot in each room, and place mixed lots in closets or less visible areas.
- Should the work order specify acclimation time for the flooring material?
- Yes. Most hardwood and engineered products require 3-5 days of acclimation on site. Note the delivery date and the earliest install date so the crew does not show up before the material is ready.
- How do I keep track of multiple jobs at once?
- Assign each job its own numbered work order with a clear scope, crew assignment, and due date. This keeps your team organized and prevents tasks from falling through the cracks.
- What if the customer asks for extra work on site?
- Document any scope changes on the work order before starting the extra work. Get the customer to acknowledge the additional cost so you avoid doing free work.
- Do I really need a work order for small jobs?
- Yes. Even small jobs can lead to disputes about what was agreed. A quick work order takes two minutes and protects you from a customer claiming the work was different from what they asked for.
