When to use and what to include
Record a move-in, move-out, routine, or maintenance inspection, then generate a clear PDF report. Capture room-by-room condition, photos, existing damage, meter or key details, requested repairs, responsible parties, due dates, and each participant's acknowledgment.
What to include
- Room-by-room condition checklist covering walls, floors, ceilings, windows, doors, appliances, fixtures, and any existing damage — with space for photos or notes.
- Date of inspection, type (move-in, move-out, routine, or emergency), and names of everyone present during the walkthrough.
- Maintenance request details: description of the issue, date reported, priority level, assigned contractor or handyman, and target completion date.
- Tenant acknowledgment section recording agreement with the documented condition or the tenant's stated disagreements, with names, dates, and signatures.
- Comparison section for move-out inspections: side-by-side with the move-in report to identify new damage beyond normal wear and tear.
Common questions
- What should I record at move-in and move-out?
- Use the same room and item list at both inspections, with dated condition notes, photos, meter or key details, existing damage, newly observed changes, people present, and any stated disagreement.
- Does the inspection report decide whether damage can be charged to the tenant?
- No. It records observed condition and supporting details. The lease, evidence, normal-wear standards, deposit rules, notice process, and state or local law determine what may be charged.
- Can I save inspection reports for later comparison?
- Yes. With an account, save each report in your account history, then compare the dated entries and photos at the next inspection.
